Department: Administration Purpose
Work as custodian of Office. Responsible for the administration and keeping of adequate records, Discipline – including Punctuality, Employees’ Conduct, Implementation of orders of the Management, recommendation for improvement of System & Policy matters and reporting the CEO about any breach of any Policy & SOP.
Planning, Organizing & implementation of Security System.
Initiate regular reports on observance of economy measures.
Exploration & utilization of human and material resources.
Organization & conduct of Professional & Administrative functions, Supervision of Construction Projects including purchases at local level in co-ordination with Procurement Department.
Coordination & liaison with Sales, Supply chain & Other Departments in day to day matters and Internal Security Operations.
Key Responsibilities:
To supervise in the maintenance of the general administration.
To supervise and assist in the preparation of monthly reports/ expenses statements and reports to be supplied to management within prescribed time limits.
To recommend improvements in policies and procedures to effectuate better records and operations.
To maintain internal control procedures in accordance with established policies and to assure adequate protection of Company funds.
To perform special assignments as required for management.
Perform duties as Transport Officer at the location Controls and manages Company Transport Conducts TESTS and INTERVIEWS for Selection and Enrolment of Drivers.
Conduct Inquiries, whenever required
Training in handling of Fire Arms, and other unforeseen events Motivational activities, running of Welfare & Vocational events Treatment & First Aid arrangements at the location Framing & updating of SOPs of Security & Administration.
Arrange all Incidental repair/ maintenance of building/ furniture/ equipment and issues.
Manage Purchase of kitchen items/ refreshment. Arrange Incidental repair / purchase of sanitary, electric, hardware and telephone related materials.
Arrange Purchase of fuel/ oil and spare parts/ repair of generators.
Manage Incidental repair/ maintenance of vehicles and their fuel/ oil etc.
Manage all affairs related to courts/ PTCL/ Government Departments etc.
Manage all special functions/ meetings.
Manage Office equipments, household furniture, appliances, rental of vehicles for the use of the staff, telephone exchange, fax machine, Photo Copier etc. to assure that it meets the company's policies and procedures.
Legal matters other than Employees Relations.
Contractual matters related to security, Janitorial Services and Essential Services.
Complete functioning of Office Canteen.
Command, control and management of Security.
Rectification of complaints
Maintain personal hygiene standards.
